Procedures & knowledge transfer

Keeping knowledge in the organization.

Turning individual know-how into practical procedures and consistent onboarding.

An anonymized account from Malini’s professional experience in a healthcare practice.

The context

Where the work began.

Clinical and administrative functions at a healthcare practice depended heavily on what experienced employees knew. Informal instructions made onboarding inconsistent and left the organization exposed when people changed roles or left.

The contribution

Malini’s role.

Malini worked with team members to extract, organize and document operational knowledge. She developed and co-developed manuals and training resources covering clinical and administrative workflows, intake, documentation and onboarding.

Procedures were centralized so staff could locate the current process. The aim was practical: a capable new employee should be able to understand the work and know what to do.

Written expectations and escalation pathways helped make responsibilities clearer across roles.

The outcome

What changed.

Previously person-dependent processes became repeatable systems. Training became more consistent, expectations clearer and operational knowledge easier to transfer between employees.
